1. What does the Name Change Policy cover?

Tickets and reservations are personal and cannot be transferred to another passenger. A name change is only permitted to correct or amend the passenger’s name, provided the passenger remains the same person and the request meets the conditions described in this policy.

2. Which bookings and tickets does this policy apply to?

  • A3/OA operated flights and/or A3/OA marketed flights 
  • Tickets issued on A3 (390) or OA (050) stock only 
  • PNRs created through GDSs (Amadeus, Sabre, Galileo, Worldspan, etc.), SPRK.

3. What is not permitted under the Name Change policy?

  • Passenger substitution is not permitted. 
  • Passenger Type Code changes (Adult ↔ Child) are not permitted.
  • Discounted Travel Agent tickets are not eligible for name change. 
  • Time Limit (TL): Adding an SR CKIN related to a name change in a GDS/SPRK (F1) booking automatically creates a TL. The name change procedure must be completed before the TL expires; otherwise, the booking may be automatically cancelled.

4. Which name change cases may be approved?

The following cases may be approved, where applicable, after the required documentation is submitted through AEGEAN Hub.

Examples include:

  • Maiden name ↔ married name 
  • Greek name incorrectly transliterated into Latin characters 
  • Addition of a missing second family name or given name 
  • First name and family name reversed 
  • Missing middle name 
  • Reservation created using a nickname instead of the official name (i.e., Tom iso Tomas, Jon iso Jonathan, Giota iso Panagiota, etc.)
  • Infant reassociation following correction of the accompanying adult's surname 
  • Typographical errors of up to three characters 
  • Other cases, subject to evaluation and approval, provided the passenger remains the same person.

5. What is the general procedure for a name change?

Regardless of ticket status, the following steps must be followed:

  • A new PNR must always be created with the correct passenger’s name. 
  • The itinerary must remain identical. 
  • The booking should be made in the same booking class (RBD) whenever available. 
  • If the original RBD is unavailable, book any available published fare RBD or waitlist and contact the Help Desk to restore the original class. 
  • SSRs and Frequent Flyer information must be added to the new PNR. 
  • The original PNR must not be cancelled until the new booking has been confirmed. 
  • Before cancelling the original PNR, add a remark indicating the reason for cancellation and the new PNR locator. 

6. Is there any exception to creating a new PNR?

Yes. The only exception is the addition of an infant, where the original PNR may be updated without creating a new booking.

7. Can the name be corrected within the same PNR?

No. Name change within the same PNR is not permitted, as it may cause reservation or booking synchronization issues, or even result in the cancellation of the PNR.

8. Which procedure applies depending on ticket status?

The applicable procedure depends on whether the PNR is unticketed, the ticket is issued and unused, or the ticket is partially used.

9. What should the travel agent do for an unticketed PNR?

If the ticket has not yet been issued, the travel agent must:

  • Submit the Name Change request through AEGEAN Hub. 
  • Create a new PNR following the General Procedure above. 
  • No ticket reissue is required. 

10. What should the travel agent do for an issued but unused ticket?

If the ticket has already been issued but no coupon has been used, the ticket must be manually reissued in the new PNR.

11. What applies to typographical errors up to 3 characters?

The travel agent must:

  • Create the new PNR. 
  • Submit the Name Change request via AEGEAN Hub to receive the auto approval. 
  • Price the booking in the same fare family to capture any applicable tax difference. Manually update the Fare, Farebasis/Designator, and Fare Calculation according to the original ticket.

No Name Change fee applies for auto-approved requests.

12. Which endorsement should be used for typographical errors up to 3 characters?

13. What applies to corrections exceeding 3 characters?

The travel agent must:

  • Submit the Name Change request via AEGEAN Hub.
  • Reissue the ticket according to the pricing policy for totally unused tickets.

Collect: 

  • applicable fare difference (if any), 
  •  tax difference (if any),
  • 23 EUR Name Change fee, entered in the OC tax field. 

14. Which endorsement should be used for corrections exceeding 3 characters?

15. How should the fare be calculated during reissue?

The reissued fare must never be lower than the original fare.

Examples:

  • If the original fare was 100 EUR and the current fare is 103 EUR, collect the 3 EUR fare difference. 
  • If the original fare was 80 EUR but the same booking class now prices at 75 EUR, select a higher available fare so that the new fare is equal to or higher than the original ticket value. 

16. Are name changes permitted on partially used tickets?

Name changes are also permitted on partially used tickets.

The travel agent must follow the same procedure for an issued ticket, with the following differences:

  • The ticket is reissued according to the voluntary partially used ticket policy. 
  • No fare difference applies. 

Only the following may be collected: 

  • 23 EUR Name Change fee (where applicable), 
  • any tax difference.

17. Which fees apply for name changes?

For countries using currencies other than EUR, the fee should be converted into the local currency using the exchange rate applicable on the reissue date.

18. What additional information should travel agents know?

  • If no itinerary change is made (same flights, dates and routing), no rebooking fee applies. 
  • If an EMD (XBAG/XBAC) has already been issued, it must also be reissued under the corrected passenger name. 
  • Any increase in the EMD amount must be collected. 
  • The policy also applies to infant tickets. 
  • No name changes other than those described in this policy are permitted.
