IMPORTANT REMARKS
- Aegean Airlines and Olympic Air do not allow name changes in principal as the ticket and reservation are personal.
- The purpose of this policy is to correct or amend a name should the following criteria be met.
- The charge for the name change is filed in the tax field with the OC code with the amount of 23 EUR for Greek and International agencies.
- Attention: change of Passengers Type Code Child to Adult, Adult to Child Not permitted.
3.1. Introduction
A ticket is a personal document that cannot be transferred to another person, so is the corresponding reservation. Therefore, Aegean Airlines and Olympic Air do not allow in principle any name changes. The purpose of this document is to describe the circumstances and related verification procedures in place to allow for a name change.
3.1.1 Name changes to individual bookings
In the following situations a name change is permitted, on provision of an official document sent via Aegean Hub proving the correct name.
Cases:
- Reservation was done on husband’s Family name instead of maiden name, or vice versa.
- The Greek name was mistyped in Latin characters, e.g., MPARMPAS versus BARBAS.
- Passenger has duplicate names and the second one needs to be added, as at the time of reservation only one name has been entered.
- Swap between First and Family name.
- Ticketed infant re-associated to adult with different Family name. For example, PAPADOPOULOY/MARIA/INF needs to be associated to PAPADOPOULOS/NIKOLAOSMR.
- Reservation was created under the nickname and not the full name. Nicknames (i.e., Tom iso Tomas, Jon iso Jonathan, Giota iso Panagiota, etc.).
- Passenger/travel agent forgot (or any other reason) to include the middle name in the booking.
- Mistyping error for a maximum of three characters in First or Family name for tickets on Domestic and International itineraries including passenger’s title MR to MRs and vice versa.
- Any other cases for which a Family/First name error occurred, upon evaluation and approval by Country sales manager for travel agencies. (Provided passenger is still the same).
Note:
- For discounted travel agent tickets (agent discount) name changes are not permitted .
3.1.2 Name change process for individual bookings
The name change process described below must be applied in the following scenario :
- PNR either ticketed or unticketed
- PNR created by a GDS (Amadeus, Galileo, Sabre, Worldspan, etc.) and Farelogix.

PNR with flights A3 or/and OA and tickets in A3 or ΟΑ stock (ONLY)
- PNR with flight operated by A3 or/and flights operated by OA with ticket in A3 or OA stock (ONLY)
- PNR with codeshare flights A3 / with flights operated by OA and tickets in A3 or OA stock (ONLY)
- PNR with codeshare flights ΟΑ / with flights operated by A3 and tickets in A3 or OA stock (ONLY)
3.1.2.1 General
A new PNR must be created by the travel agent with the same flight details and in the same booking class (RBD) with the correct name. In the event of the same RBD (booking class) being unavailable , the booking should be made in any other available RBD or put on wait list. The travel agent must then contact the Aegean Airlines or Olympic Air travel agent helpdesk in order to confirm the initial RBD in the new PNR.
Attention:
The only exception is the “add infant” procedure. In this case, the travel agent is allowed to add the infant addition into the original PNR.
Note:
Do not cancel the PNR with the wrong name before the new PNR is created and confirmed in HK status in the initial RBD. Additionally, all special service requests (SSR) and/or frequent flyer numbers must be added into the new PNR.
The PNR with the wrong name must only be cancelled after confirmation by the airline and before cancellation an explanatory comment must be added indicating the reason for the cancellation and the new PNR.
3.1.2.2 PNR with unissued ticket
For a PNR created by a travel agent, the travel agent must request the name change and create a new PNR with the same travel details and the same booking class as described above in (3.1.2.1).
Attention
If the name change is processed within the same PNR, synchronization issues may occur. A new PNR must always be created.
3.1.2.3 PNR with issued ticket
For a PNR created by a travel agent, the travel agent must request a name change and create a new PNR with the same flight details and the same booking class as described above (3.1.2.1). Additionally, the fare must be equal to, or greater than the value of the original ticket.
A. Mistyping errors up to 3 letters (Valid only for Auto Approved).
The travel agent must:
- Create a new PNR in any available Published RBD, same compartment as described above (3.1.2.1).
- Create Aegean Hub request in category NAME CORRECTION. The Aegean Hub id to be used in the endorsement box during the manual reissue. (Waiver code = Hub ID)
- Manually reissue the original ticket number in the newly created PNR (according to the pricing policy for unused tickets, same fare family as original ticket) with no additional fare collection and fill in the OC tax field the amount of 23 EUR as a name change fee (the same procedure applies for DV and DU for rebooking and no show). You should collect any tax difference that might occur.
- Update endorsement box of the new ticket must reflect the original ticket number and the Aegean hub ID as per below
“Valid on A3/ΟΑ flights only/OC 23 for name change/ICW (original tkt number 390…)/waiver code (aegean hub id)
B. Mistyping errors more than 3 letters
The travel agent must:
- Create Aegean Hub request in category NAME CORRECTION.
- Reissue the original ticket number in the newly created PNR (according to the pricing policy for unused tickets) charging any fare/tax difference if applicable and fill in the OC tax field the amount of 23 EUR as a name change fee (the same procedure applies for DV and DU for rebooking and no show).
- The Endorsement Box must be filed as per below.
“Valid on A3/ΟΑ flights only/OC 23 name change/ ICW (original tkt number 390…)”
Example:
- With a ticket originally issued in Y/class and with the fare value: 100 EUR.
When the travel agent does the name change, the Y/class fare has increased to 103 EUR.
In this case, the travel agent must charge the difference between the original fare and the new Y/class value (without the rebooking fee). - If the original ticket has been issued in Κ/class with the fare value: 80 EUR.
When the travel agent does the name change, Κ/class has decreased to 75 EUR.
In this scenario the travel agent must book a higher RBD so that the new fare is equal to, or greater (regardless of RBD) and charge the fare difference between the original and the new RBD, according to the available published fare at the time of the new booking (without rebooking fee).
The normal procedure should be followed (re-pricing as per A3 policy for totally unused and partially used tickets)
3.1.2.4 PNR with Partially used tickets
Name change is also allowed in partially used tickets. In this case, only the name change fee will apply and any difference in tax
Ticket will be reissued as per A3 policy for voluntary partially used tickets. As a result there will be no fare difference.
Same procedure and ticketing actions as analyzed in 3.1.2.3 PNR with issued ticket to be followed.
Notes:
If there is no other change in the booking, except for the name change, (flight/time/date etc.) and the itinerary remains the same as the original, then no rebooking fee is charged.
If an EMD has already been issued for baggage (XBAG/XBAC), this document must be also reissued under the correct passenger’s name.
Any difference in the EMD amount (should there be an increase in the charge between the date of original EMD issuance and the reissue date), must also be collected.
No name changes, other than those set out above, are allowed.
The name change policy is also applicable for tickets related to infants.
When a currency other than EUR is used, the travel agent will convert the EUR amount to the currency of payment (local currency) on the date of the reissue.
