Limitations:

Currently, Travelport does not support the void of a reissued EMD.  In this case the agent needs to reissue the EMD a second time to correct whatever reason required a void.  In order to avoid an ADM, an e-mail must be sent to RevenueA3@aegeanair.com explaining the reason for the second reissue.

None of the above cases can be performed through Travelport as only an identical exchange is supported. The value of the new EMD must be the same as the original one. (These cases should be raised with A3).

General Rules :

• EMD Exchangeability
  An EMD can be exchanged for an EMD
  An EMD can only be exchanged only to the same RFISC (Reason For Issuance Sub Code).

• EMD validity
  For totally unused EMDs, the validity is for a period of one year from the date of issuance.
  For partially used EMDs, the validity is for a period of one year from the date of commencement of travel.
   
• EMD reissue
  EMD rerouting with change in country of origin is permitted both for totally unused and partial used traffic documents. 
  No restriction on tickets fare type or fare family. Domestic itinerary reissue to international and international to domestic is not permitted.
  
  EMD reissue due to name change is allowed.
  
  If a travel agent wants to change the number of applicable pieces( e.g. ATH-RHO-ATH 1 PC per leg reissued to 2 PC for ATH-RHO) it is allowed and vice versa, as long as the EMD coupon is associated to only one e-ticket coupon.
  
  Involuntary reissue is allowed.
  Reissue an open EMD on a newly issued ticket.
  
  
• EMD pre-purchase is possible up to 2 hours prior to departure

A3 VMCO/VMPD decommissioning

Under the e-services project, IATA has announced the target deadline December 31st, 2013 for having 100% BSP EMD. To comply with this rule, Aegean has implemented EMD with GDS for non-air services, replacing VMCO/VMPD. Travel agents are recommended to issue EMD-S for services supported (refer to the table in paragraph 3) instead of VMPD/VMCO. In this way , a smooth phase-out is ensured

Overview 

EMD-S is a new electronic (paperless) document that replaces all other paper miscellaneous documents. With EMD-S travel agents will be able to accept payment for various types of services, including Group Deposits, Down Payments, Group Penalty fees, Under Collection of Fares, Under Collection of Taxes and Cancellation Penalty, for A3.

As a result, miscellaneous charges will be integrated in invoices, sales reports etc.

• An EMD-S can be issued for miscellaneous charges that are not lifted with the E-ticket flight coupons.
• The EMD-S can consist of single or multiple value coupons.
• It may contain a reference to an E-ticket.
• EMD-S is consumed at issuance. 

Services supported by EMD-S for A3

NOTE: A short explanation for the above table’s specific elements is provided below; however travel agents must contact their GDS helpdesk for the applicable entries for SVC requests and for EMD issuance.

Service (SVC) in general

 

The service not related to a PNR flight segment is represented by a manual auxiliary segment, called Auxiliary Service element, (SVC). An SVC is required in a booking for EMD-S service requests and issuance. Upon a successful issuance in GDS, the EMD number will automatically be updated in the booking.

• The SVC must always be confirmed at input time whatever the service code entered. 
• The SVC can only be associated to one passenger.

Consumed at issuance

The EMD coupon status indicates the current usage of the service fee. When an EMD is “Consumed at issuance”, the coupon status is automatically updated as “FLOWN/USED” at time of issue. The EMD with final status code is irreversible and it prohibits any further action to the coupons.

ICW

The related ET number should be specified in the “ICW – In Connection With” box whenever it is mandatory, otherwise an error message will be shown

EMD-S Void

Only the issuing office can perform EMD void function, provided that it is done on same day of issue. An authorisation code will be sent from A3 to confirm the successful transaction.

EMD-S Refundability

Refund is only applicable for “Group Deposit/Down Payment/D/99A” settlement will go through BSP.) An authorisation code will be sent to confirm the successful transaction.

EMD-S Exchangeability

EMD-S exchange is not supported.

A group penalty fee is issued for group space cancellation, and therefore may be collected as required.

Reservation procedure / EMD-S GRPF

For an active and/or purged PNR for cancellation of un-ticketed passengers    

1. When cancelled space concerns un-ticketed passengers, then a new PNR must be created, with no flight segments, unless GRPF will be issued by Farelogix, where a flight segment is mandatory to create a PNR, therefore any flight segment may be added in the Farelogix PNR

The name field must be updated as follows:
Surname: Group name
Name: Total number of cancelled seats

Example: 5 seats were cancelled.
Group name is AEGEAN AIRLINES.
The name of the PNR to be created for collecting the Group Penalty Fee (GRPF) will be:
AEGEAN AIRLINES/FIVE 

Group Penalty Fee Service Segment (GRPF)

Group Penalty Fee service segment (GRPF) must contain the origin and destination of outbound travel (routing information), if supported by GDS

NOTE:

Travelport will enhance service segments in the near future, so that routing information (both board and off points) will be supported

Cancellation Fee

Cancellation Fee EMD-S will be issued by a travel agent to cover any case related to a missing cancellation penalty, i.e. voluntary cancellation of a ticket with a full refund of its value without deducting the cancellation fee.

Reservation Procedure

Travel agent should add an active AIR segment (if not existing) in the original PNR.

The Cancellation Service Segment (CANX)

Cancellation Fee service segment (CANX) must contain the origin and destination of outbound travel (routing information), if supported by GDS.
